Instructions for speakers

Location

All parallel sessions will take place in lecture halls at the RAI conference center, the conference site of ICHEP 2002. The lecture halls and the starting times assigned to all parallel talks will be shown on the final program. This information can also be found on the ICHEP 2002 website, www.ichep02.nl .

Mode of presentation

You will be equipped with a small clip-on microphone and a laser pointer.

Presentation by beamer (preferred)

We prefer that speakers prepare their talk for projection via a beamer, either in PowerPoint, PDF or Postscript format. In all lecture halls, an overhead projector is also set up for showing an indivual slide on the side or for emergencies.

Even if you choose for presentation entirely by beamer, you must bring with you copies of your slides on overhead transparencies for emergencies.

Presentation by overhead transparencies

An overhead projector is available in each lecture hall. Your overhead transparencies will be scanned after your talk (see 4. below).

Guidelines for beamer presentations

Software, preparation of slides

For PowerPoint, any version of Microsoft Office 2000 or before can be used. If you include "ps" or "eps" files in your PowerPoint presentation by converting them to "gif" files, you should convert them at a resolution of at minimum 150 dpi for optimal visibility. If you submit a PDF (preferred) or Postscript file, we shall simply use the full-screen mode of the Acrobat viewer.

We suggest to use font size 28 or larger. We also recommend to use primary colors (no green or yellow). The beamer has a resolution of 1024x768 pixels. You should use landscape mode.

Projection in the lecture hall; the Speakers Center

To avoid possible hardware compatibility problems with private laptops, there will be a fixed laptop in each lecture hall. We ask speakers to preview and submit their presentations at the Speakers Centre that we will set up at the conference. The Speakers Center will already open on July 24 during registration. The submission can be done on CD-ROM, floppy disk, or by direct connection of your laptop to a PC at the Speakers Center. In this way we can iron out in advance any problems with fonts, resolution and other software issues. Technicians at the Speakers Centre will copy your talk on a CD, and ensure that your talk ends up in the correct lecture hall on the laptop connected to the beamer. An assistant will stand by in your lecture hall to start the talk, and help resolve any on-site problems. Please note that we do not provide a remote control, so you will have to change your slides via the "enter" button on the laptop.

Transferring all talks of a given session in the correct order on a CD and installing it on the laptop in the lecture hall requires some time and coordination. We therefore ask you to preview and submit your presentation well in advance at the Speaker Center: speakers at the morning session of each day can submit their presentation on the preceeding day before 18:00 hrs; speakers scheduled for an afternoon session can submit in the morning of the same day before 11:30 hrs. Speakers who have not submitted their presentation before these deadlines are assumed to only use overhead transparencies.

We will inform you about the location and opening hours of the Speakers Centre in our second bulletin. We shall also post this information on the ICHEP 2002 website www.ichep02.nl

Parallel talks on the ICHEP 2002 website

All slides or overheads of presentations at the parallel sessions will be placed on the ICHEP 2002 website. For talks presented by beamer, the slides stored electronically at the Speakers Center will be used. For talks presented by using overheads (and for additional overheads used during beamer presentation): a member of our technical staff will ask you after your talk for your transparencies. They will be scanned and returned to you. Please make sure that you hand over your transparencies in the correct order.

Proceedings

Talks presented at the Parallel Sessions will appear in the Proceedings of ICHEP 2002. Instructions for preparing the contributions for the proceedings will be sent to all speakers at a later date.
